Position SummaryThe Office Assistant supports the daily operations of Possum Point Players, a small but vibrant community theater dedicated to delivering quality productions and engaging the local arts community. This position is a key point of contact for patrons, volunteers, and staff, assisting with box office operations, volunteer coordination, and general administrative duties.
Key ResponsibilitiesBox Office Operations
- Manage daily box office activities, including ticket sales by phone, email, and in person.
- Operate and maintain the theater’s ticketing platform, ensuring accurate event listings, pricing, and seating charts.
- Provide excellent customer service to patrons, addressing questions, exchanges, and special requests courteously, including tracking ticket sales and preparing reports
- Support front-of-house operations on performance days
Volunteer Coordination & Front of House Support
- Recruit, schedule, and communicate with volunteers for ushering, bartending, and other front-of-house duties while maintaining volunteer contact lists and ensuring coverage for all performances and special events.
- Coordinate with cleaning and maintenance crews to ensure the theater is clean, safe, and welcoming for audiences.
- Serve as a liaison between staff and volunteers, ensuring clear communication and smooth operations during performances.
Administrative & Office Support
- Perform general clerical tasks such as filing, copying, scanning, and distributing printed materials (programs, flyers, schedules, etc.), including monitoring and ordering supplies.
- Assist with correspondence, data entry, and record keeping.
- Support marketing and communications efforts, such as updating mailing lists or distributing promotional materials.
- Help with event preparation and logistics as assigned while providing occasional support to production and administrative staff for special projects.
- Previous administrative or customer service experience, preferably in an arts or nonprofit setting.
- Strong organizational skills, attention to detail, and the ability to work independently or as part of a small team.
- Excellent written and verbal communication skills, including friendly, professional, and comfortable interactions with the public.
- Proficiency with Microsoft Office (Word, Excel, Outlook) and comfort learning new software systems (ticketing platform, volunteer scheduler, Constant Contact etc.).
Preferred Qualifications
- Experience with marketing and public relations including graphic design and Microsoft Publisher
- Experience with ticketing software (e.g., On The Stage (OTS), AudienceView, or similar).
- Familiarity with community theater operations or performing arts organizations.
- Interest in theater and supporting the arts community.
